About this role

Our client, a well established company based in Little Hulton are looking to recruit an Administration Assistant to join their team on a permanent basis working full time hours.  This is a fantastic opportunity to join a friendly team and assist with all the Administration for the Manchester office and ensure all jobs are booked in and costed.

The job

The main duties of this Administration Assistant role will include:

  • Booking jobs on Computer system for all departments, completing the relevant paperwork, creating job envelopes etc. in a timely manner according to the Company procedures.
  • Log works hours on a daily basis according to procedures (including the completion of the daily shop hours report).
  • Log material requisitions against jobs.
  • Take incoming calls to the office and redirect to the correct member of staff where applicable.
  • Generate preliminary invoices on delivered jobs on a daily basis.
  • Managing the end of day reports (invoice run, completed orders and order number log) ensure they are sent to the correct people.
  • Deputising for the Office Manager when they are on holiday, completing as many of their tasks as possible during the working day.
  • Working with the Office to maintain the SQCDP and KPI boards.
  • Taking calls/messages for the Office Manager when necessary.
  • Actively managing the Order number log and work with the sales team to obtain orders following job delivery, emailing and calling customers where necessary.
  • Providing additional support in the Workshop Office or to the Purchasing Clerk during busy periods.
  • Managing the addition and changes to accounts within the RJW CRM system.
  • Any reasonable request not listed above relating to the Works or Workshop Office.

The candidate

The successful candidate for this Administration Assistant role will possess:

  • Strong communication skill s and be able to liaise with clients, customers, colleagues and management
  • Previous administration experience in a similar role
  • Good working knowledge of MS Office products
  • Sage experience is desirable but not essential as training will be provided
  • Be able to work quickly and efficiently both alone and when working with team members
  • Be versatile and organised and able to prioritise tasks
  • Knowledge of ERP systems would be highly desirable

In return this role is offered on a full time, permanent basis and is offered with an immediate start date.

Salary:  £23,600 per annum

Hours:  Monday – Thursday 9.00am – 5.00pm and Friday 8.30am – 4.30pm
