Role Overview
We are recruiting for a Project Administrator to support the team at our client’s Swinton office.
Working closely with project managers, survey teams, resident liaison colleagues, and stakeholders you will help ensure projects run smoothly through effective coordination, communication, and administrative support.
This is a hands-on, fast-paced role suited to someone highly organised, detail-oriented, and passionate about delivering excellent customer service.
Following training, you will take ownership of assigned responsibilities, managing tasks independently while maintaining clear communication with stakeholders. A proactive approach is essential; anticipating needs, sharing updates, and ensuring actions are completed on time.
Key Responsibilities
Project Coordination

Assist with scheduling and tracking survey appointments across multiple sites.

Maintain accurate records of project progress, access rates, and resident interactions.

Support mobilisation activities, including preparing documentation and coordinating logistics.

Monitor field activity and ensure timely reporting of completed visits.
Resident Engagement

Work alongside resident liaison teams to support residents and respond to queries.

Manage inbound and outbound communications via phone, email, and digital channels.

Coordinate distribution of appointment letters, calling cards, and reminders (SMS/email).

Help ensure residents receive clear information and a positive experience throughout the project.
Communications & Reporting

Upload project updates and progress information to internal systems.

Support preparation of reports, updates, and presentations for stakeholders.

Assist with digital communications and awareness content where required.
Quality & Compliance

Ensure required documentation and visit records are complete and compliant.

Track enquiries or complaints and support timely resolution.

Follow safeguarding procedures and escalate concerns appropriately.
Skills & Experience
Essential

Strong organisational and administrative skills.

Excellent written and verbal communication skills.

Ability to work collaboratively across teams.

Confident using Microsoft Office applications and shared document platforms.

Customer-focused approach with empathy and professionalism.
Desirable

Experience within housing, property, surveying, or public sector environments.

Familiarity with CRM or scheduling systems.

Understanding of safeguarding and data protection principles.

Experience supporting social or digital communications.
