About this role

Our client, a Social Enterprise working alongside the NHS, is looking to recruit a Full-Time Administrator to join their friendly and professional business support team.

The organisation provides primary mental health care to patients in the Salford area. The role is based in Eccles and is offered initially on a temporary basis, with the possibility of becoming permanent for the right candidate.

This is a full-time role working Monday to Friday working 37.5 hours per week between 8.00am to 4.30pm, including a 30-minute unpaid break, Agenda 4 Change Band 3 £25,760 per annum (£13.21 per hour).

The role

This is a varied and important administrative role within a busy healthcare environment. The successful candidate will support clinical, operational and business support colleagues to ensure that referrals, appointments, records, patient communication and routine checks are completed accurately and consistently.

Administration is a vital part of the patient journey and the quality of the overall service. The postholder will work closely with the wider team, contribute to shared processes, and support service improvement, quality assurance and project work where administrative insight is needed.

The role requires someone who is organised, calm under pressure and able to follow agreed processes. Accuracy, confidentiality, reliability and good communication are essential.

Main duties will include:

  • Answering telephone calls and responding to patient and professional queries in a courteous and sensitive manner
  • Managing, booking, rearranging and cancelling appointments on behalf of practitioners
  • Supporting referral administration and ensuring referrals are processed accurately
  • Liaising with patients, clinical staff, managers, interpreters and external agencies
  • Inputting and checking clinical and operational data across relevant systems
  • Managing shared inboxes and ensuring emails are actioned, filed or escalated appropriately
  • Maintaining clear records so work can be picked up by other team members when needed
  • Updating databases, trackers, logs and dashboards
  • Supporting regular administrative checks, audits and assurance tasks
  • Booking interpreters where required and following agreed processes
  • Supporting health and safety, information governance and other routine administrative checks
  • Preparing agendas, taking minutes and following up actions when required
  • Supporting the development, review and use of standard operating procedures
  • Identifying practical process issues and escalating them constructively
  • Contributing to service improvement, quality improvement and project work where relevant
  • Scanning, uploading and filing patient records and other documents
  • Dealing with incoming and outgoing post
  • Meeting and greeting visitors where required
  • Carrying out general administration and secretarial duties as required

The person

The successful candidate will be reliable, accurate and able to work well as part of a small team. They will need to be comfortable working with patient information and understand the importance of confidentiality, consistency and following agreed processes.

They will have:

  • Previous relevant administration experience
  • Good working knowledge of Microsoft Office, including Outlook, Word and Excel
  • Strong organisational and time management skills
  • Good written and verbal communication skills
  • A compassionate, patient and professional telephone manner
  • Strong attention to detail and a commitment to accuracy
  • The ability to follow agreed processes carefully and consistently
  • The confidence to ask questions or escalate issues when something is unclear
  • The ability to manage competing priorities in a busy environment
  • The ability to keep clear records of actions taken
  • The ability to work collaboratively across the wider service
  • A constructive approach to problem-solving and service improvement
  • A flexible and willing approach to work
  • The ability to work confidentially and sensitively with patient information
  • Experience of using databases, appointment systems, records systems or shared inboxes would be useful.
  • Experience in healthcare, mental health, NHS, social care, charity, social enterprise or customer support environments would be desirable.
