We are delighted to be recruiting on behalf of our client, a well-established and successful professional services organisation based in Manchester, who is looking to appoint an experienced Part-Time Administrative Assistant.

This is a varied and interesting position within a friendly and supportive office, providing essential administrative support and helping to ensure the smooth day-to-day running of the business.

The role offers excellent flexibility, with the 25 hours per week able to be worked across 3 full days or spread across 5 shorter days, depending on the successful candidate’s preference and the needs of the business.

Key Responsibilities

  • Managing and maintaining the approved subcontractor database.
  • Monitoring supplier insurance documentation, certifications and renewal dates.
  • Maintaining employee documentation and training records using the company’s HR system.
  • Providing administrative support for ongoing projects and schemes.
  • Arranging appointments and responding to customer and supplier enquiries.
  • Answering incoming telephone calls, directing enquiries and taking accurate messages.
  • Ordering stationery, PPE, equipment and general office supplies.
  • Maintaining stock records and ensuring appropriate supplies are available.
  • Meeting and greeting visitors and providing a professional and welcoming first point of contact.
  • Booking staff travel and accommodation.
  • Scheduling appointments and meetings.
  • Managing incoming and outgoing post.
  • Scanning, photocopying, filing and general document management.
  • Maintaining accurate electronic and paper-based records.
  • Undertaking occasional local errands and purchasing office supplies when required.
  • Providing general administrative support to colleagues across the business.

About You

We are looking for an experienced and dependable Administrator who enjoys variety and takes pride in keeping things organised.

The successful candidate will ideally have:

  • A minimum of 3 years’ experience within an administration or office-based position.
  • Strong working knowledge of Microsoft Word and Excel.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • The confidence to manage a varied workload and prioritise effectively.
  • The ability to work independently as well as collaboratively within a team.
  • Excellent attention to detail.
  • A proactive, flexible and reliable approach to work.
  • A friendly and professional manner when dealing with visitors, colleagues and external contacts.
