We are delighted to be recruiting on behalf of our client, a successful and well-established international business based in MediaCityUK, Salford Quays, who is looking to appoint an experienced Part-Time Office Assistant.

This is a varied and hands-on position providing day-to-day administrative support to the Finance team and wider office. The successful candidate will play an important role in keeping everything running smoothly, coordinating office administration, travel, facilities, shared inboxes, supplies and employee expenses.

The role offers 24–30 hours per week, worked across five days, with the daily working pattern to be agreed to provide a sustainable balance alongside family or caring commitments.

Key Responsibilities

  • Providing general administrative support to the Finance team and wider office.
  • Supporting colleagues with the preparation and submission of expense claims.
  • Checking expense claims and supporting documentation for accuracy and completeness.
  • Coordinating expense approvals and processing through the company’s expense management system.
  • Following up outstanding information and approvals where required.
  • Assisting with routine finance reports and data preparation.
  • Managing designated shared inboxes, responding to routine enquiries and directing requests appropriately.
  • Maintaining accurate records, correspondence and documentation.
  • Coordinating staff travel arrangements and bookings within agreed budgets.
  • Ordering stationery, office supplies and other equipment, ensuring appropriate stock levels are maintained.
  • Liaising with suppliers and coordinating routine facilities requirements.
  • Maintaining office rotas and regular delivery schedules.
  • Supporting Health & Safety administration, including maintaining records and coordinating routine checks.
  • Preparing documents, filing and maintaining electronic and paper-based records.
  • Using internal systems and digital tools to manage routine requests and administrative tasks.
  • Identifying opportunities to improve recurring office and administrative processes.
  • Handling confidential financial and employee information with professionalism and discretion.

About You

We are looking for an organised, proactive and approachable individual who enjoys providing excellent support and being at the heart of a busy office.

The successful candidate will ideally have:

  • Previous experience within office administration, finance support or office coordination.
  • Excellent organisational and time management skills.
  • Strong attention to detail and a methodical approach.
  • The ability to manage multiple tasks and deadlines effectively.
  • Excellent written and verbal communication skills.
  • A professional and approachable manner when dealing with colleagues, suppliers and other stakeholders.
  • Confidence handling confidential and sensitive information.
  • Good working knowledge of Microsoft Outlook, Word and Excel.
  • The ability to quickly learn new finance, expense and travel systems.
  • Confidence using digital tools to support efficient working practices.
  • A proactive, helpful and service-focused approach.

What’s on Offer?

  • £26,000 – £29,000 FTE, pro rata depending on experience.
  • Permanent, part-time contract.
  • 24–30 hours per week, worked across Monday–Friday.
  • Working pattern agreed to help accommodate family or caring commitments while meeting the needs of the role.
  • One home-working day per month, subject to operational requirements.
  • 25 days’ annual leave plus Bank Holidays, pro rata.
  • Holiday entitlement increasing with length of service up to 30 days, pro rata.
  • Additional day’s annual leave around Christmas.
